Privacy Policy for the Staffy Art Trail mobile application

This Privacy Policy explains how Staffordshire & Stoke-on-Trent LVEP ( “we,” “us,” or “the LVEP”) collects, uses, and protects your personal data when you use the Staffy Art Trail mobile application (the “App”).

As the accountable body for the LVEP, Staffordshire County Council is the legal entity and Data Controller for this App. The App was developed by Haywyre LLP, who acts as the Data Processor, handling data strictly under the LVEP ’s instructions.

 

1. Who We Are and What Data We Collect

As the Data Controller, Staffordshire County Council is responsible for your information. We collect the following types of data through the Staffy Art Trail App:

· Contact Information: Email address (where provided for account creation or support).

· Location Data: The App accesses your precise location to display your position on the trail map; however, this precise data stays on your device and is not collected or stored by us. We only collect approximate (coarse) location data for app functionality and analytics.

· Device Data: Device type, operating system version, and unique installation identifiers.

· App Usage Data: Information on how you interact with the App’s features and trail progress.

Note: We do not collect "Special Categories" of personal data (such as race, religion, or health) or information regarding criminal convictions.

2. How We Use Your Data

We process your data to:

· Provide and improve the Staffy Art Trail App features and user experience.

· Analyse usage patterns to enhance the trail's functionality.

· Communicate with you regarding app updates (where consent is provided).

We rely on Consent as the legal basis for processing your data, particularly for location-based services and marketing communications.

3. Sharing Your Data

We do not sell your personal data. We do not share your data with third parties for their own marketing or advertising purposes. Data is only shared with:

· Haywyre LLP: Our developer and data processor, for app support and maintenance.

· Technical Service Providers: Secure cloud hosting (e.g., Google Firebase) within the UK/EEA.

· Legal Authorities: Only if required by law or to protect legal rights.

We do not use your data for cross-app tracking purposes as defined by Apple’s App Tracking Transparency (ATT) framework.

4. International Transfers and Hosting

The Staffy Art Trail App is distributed via the Google Play Store and Apple App Store. Any personal data collected is stored on secure servers located within the United Kingdom or the European Economic Area (EEA). We do not transfer your personal data to countries outside of the UK or EEA.

5. Data Security

Both Staffordshire County Council and Haywyre LLP implement robust technical and organizational measures—including encryption in transit and at rest—to protect your data from unauthorized access or disclosure.

6. Data Retention and Account Deletion

We retain your personal data only for as long as necessary to fulfil the purposes outlined in this policy.

Requesting Data Deletion: You have the right to request the deletion of your account and associated data at any time. To do so, please:

1. Contact our Data Protection Manager at staffy@staffordshire.gov.uk with the subject line "Data Deletion Request - Staffy Art Trail".

2. Provide the email address associated with your app usage. We will process your request and delete your personal information from our records within 30 days, unless we are legally required to retain it.

7. Your Legal Rights

Under the UK GDPR, you have the right to:

· Access, Correct, or Erase your personal data.

· Restrict or Object to certain processing.

· Withdraw Consent at any time.
